UITS news for December 16, 2020

Leave no files behind

Box will be read-only after Jan. 11 and retires in May 2021.

Moving day has come and gone. Almost all Box files (except Box Health) have been migrated to the Microsoft and Google storage platforms. Please get everything out of Box, and do not add any new data, as all of it will be lost when IU’s contract with Box expires in May 2021.

Be aware—after Jan. 11, your Box user account will become read-only, and you will no longer be able to edit or upload files in Box. You will be able to view and download documents until May 2021. In the meantime, review your migration error report for group and personal accounts to ensure that you have everything you need before IU’s contract with Box expires.

Need to create institutional storage with Microsoft or Google? It’s important to fill out an institutional storage request form for all migrating or new institutional storage. Not sure of next steps? UITS offers recorded webinars to help you store, share, and collaborate with colleagues. Have questions?  Contact your IT Pro or your campus UITS Support Center.

Zoom waiting rooms will be default as of Dec. 21

Log into your Zoom at IU account to automatically bypass this security feature.

Zoom at IU will enable waiting rooms as a security default for all new meetings as of Dec. 21. Users who are logged in with their Zoom at IU accounts will automatically bypass the waiting room by default. This way, meeting hosts won’t have to admit authorized attendees one by one. Participants from outside IU will still need to be individually admitted.

The automatic bypass setting can be changed. Hosts will also have the ability to turn off the waiting room completely. Review your waiting room settings prior to or after the update on Dec. 21 to ensure attendees can be admitted in the manner you prefer.

It’s winter break, but the support you need is ongoing

Check out the adjusted hours for CrimsonCard offices and the Support Center.

All IU campuses have adjusted their Support Center hours during the winter break. As always, email and chat support is available 24/7. During closings, phone calls will route to the UITS Contact Center.

Coming to campus for the first time this spring? It’s a good idea to get a head start on your CrimsonCard, the official IU photo ID card that provides access to a variety of essential services and features. Students, faculty, and staff are encouraged to upload their photo at least three business days before their “Pick up a preprinted CrimsonCard” appointment.

Does the pandemic have you stuck overseas?

IU offers many resources to help you learn, teach, and work from wherever you are.

As IU shut down in-person classes in March 2020, many international students flew back to their home countries and have been attending remote classes ever since. Many IU resources are still available even if connecting from abroad.

There are a few things to keep in mind as you connect to IU resources. Always use the official IU client or app for Zoom, Canvas, VPN, Kaltura, Adobe Creative Cloud, and more. For details about accessing Zoom in China, see connect to Zoom in China.

IUanyWare allows you to use a virtual PC or application as if you were on an IU campus, including providing you with an IU IP address and allowing you to access resources through IU libraries, such as journals and scholarly publications.

Adobe Flash Player support going away

IU users encouraged to uninstall player.

Adobe will end support for Adobe Flash Player on Dec. 31 and will no longer provide security updates. Because of the security risk posed by out-of-date software, the IU Information Security Office recommends discontinuing the use of Adobe Flash Player.

Microsoft will also end support for Adobe Flash Player on Dec. 31 and is taking steps to remove Flash from all modern Windows versions. Please ensure that the Windows Update from Oct. 27 or later is installed to disable Adobe Flash Player. You may also manually uninstall the Flash Player on Windows or on Mac
